Operations visibility · BackShop Pros, LLC

You shouldn't have to go
looking for what's slipping.

You're busy. You don't have time to stand over someone's shoulder to see how the work really goes — and short of that, how would you find out? We put every job, every customer and every dollar sitting still onto one screen, so what used to reach you late reaches you first.

Built by an operations executive who spent eighteen years running the back office — billing, payments, support — at companies from sixty people to fifteen thousand, and a builder who ships working tools in about a week.

What growth costs you

The business got bigger.
The view got smaller.

You still have an idea of how things run. But if you had to step in tomorrow you'd be guessing at half of it — and you shouldn't have to know every process by heart. You should just be able to see them.

01

You find out a customer was unhappy at the point where they're already gone.

02

Answering "how did we do last month" means somebody has to build a spreadsheet first.

03

Three people give you three different answers about where the same job stands.

04

Work gets finished, the customer leaves, and nobody notices it was never invoiced.

05

You know one of the numbers is wrong. You don't know which one.

06

The systems you already paid for don't talk, so your people became the integration.

07

One person quotes from memory, and only they know how it's done.

08

The only problems that reach you are the ones loud enough to reach you.

None of this means you're disorganised. It means you're running a company that outgrew the way it reports to you.

What you get

One screen. Everything on it.

It reads from the systems you already run and pulls every job into one place — from the first phone call to the deposited cheque. Then it does three things, in order.

See it

the board

Every job, every stage, every hand-off, timestamped. Who owns it, how long it's been sitting, what was promised.

  • Stalled work turns red on its own
  • Nobody has to remember to flag anything
  • Your team's daily tool, not a report for you
The one owners open

Price it

the leak

The same work, in dollars. What's finished and unbilled. What was agreed on a handshake and never written down. What's quietly going cold.

  • One number, updated every morning
  • Every figure traceable to a real job
  • Movement week over week, so you see the direction

Explain it

the cause

Stays sealed while it watches. Then it works out why it keeps happening — the pattern underneath, out of your own history.

  • The cause, not the symptom
  • What closing it is worth, in dollars
  • And where it isn't a software problem at all
Walk through a working example Real screens, sample data, nothing to sign.
How it works

Nothing changes on day one.
That's the point.

If a system needs your people to adopt new habits before it tells you anything useful, it dies in week three. This one starts by watching what already happens.

Step 01

Connect what you run

It reads from your existing systems and your inbox. We replace nothing, and nobody re-keys anything into a second place.

You getYour live operation on one screen, inside a week
Step 02

It watches

Every job, every hand-off, every customer thread. No new habits required for it to start being useful.

You getStalled work and unbilled jobs surfaced as they happen
Step 03

It tells you what's slipping

Priced, so you know what to care about first. The board is for your team. The number is for you.

You getOne figure that moves, and the jobs behind it
Step 04

Then it tells you why

Once there's enough history to be sure, the pattern comes out — and only then does anyone talk about changing anything.

You getThe cause, what it costs, and what we'd do about it
What we'll offer you

Exactly what your numbers justify.
Sometimes that's nothing.

Every system in this category sells you eleven modules and lets you work out which two you actually needed. You pay for the other nine forever.

We watch first

The part of the system that recommends anything stays locked until there's enough of your data to be sure. Not as a sales tactic — because before that, there is genuinely nothing to say. We'd rather say nothing than guess.

Then we show you the arithmetic

If something in your numbers justifies adding a piece — a follow-up engine, change-order capture, written procedures, job costing — you'll see the working. If nothing does, you'll hear that instead.

And then we're done

You own what we built. Your team runs it. There's no subscription waiting for you and nothing switches off. If you want us back for the next problem, that's a conversation you get to start.

Why not just buy software

A dashboard tells you what.
It never tells you why.

You can buy a screen full of charts from plenty of people. The hard part was never displaying the number — it's knowing which number is the symptom and which one is the disease.

01

A software company's incentive is your renewal. Ours is the number going down.

02

A vendor can't tell you your process is wrong — their product has to fit whatever you already do.

03

Some of what this finds isn't a software problem. Nobody sells a module for "two people do this differently."

04

When the honest answer is that somebody has to sit with your team for a day, we say so. And then we do it.

That's the whole reason we do it the way we do. Software finds the number. A person finds out why.

How we're built

An operator and a builder.

Most consultants hand you a recommendation and leave you to implement it. Most builders can implement but don't know what to build. That gap is the entire reason there are two of us.

The operator

Diagnosis

Eighteen years running back-office operations — billing, payments, revenue cycle, support — at companies from sixty people to fifteen thousand. The person you call to untangle how work actually gets done.

  • Ran billing-accuracy operations with 100+ people reporting in
  • Owned commission and partner-payment programs
  • Led operations across a 100+ location network
  • Executive operations roles at large, high-growth and small companies alike
  • Consulted before this — advisory is not a career change

The builder

Delivery

Builds the software. Working tools your team uses the week after you approve them — not slide decks, not a roadmap, not a twelve-month implementation.

  • Ships a custom, working tool in about a week
  • Intake, ticketing and pipeline tracking
  • Operations dashboards built on your real numbers
  • Customer-email sentiment flagging — running in production today
  • Builds against what the data shows, not a feature list
Straight answers

The questions you're actually asking.

What if it finds nothing wrong?

Then you've got a well-run business and a single screen that proves it — which is worth having on its own. Plenty of owners want the confirmation more than the correction.

And you won't be sold anything. We only recommend a piece when your own numbers justify it. No numbers, no recommendation.

We already bought software for this.

Most companies your size have — that's usually the problem. The systems exist and nothing connects them, so people became the integration. We'd rather make what you own work together than sell you another subscription.

Do you know our industry?

Probably not as well as you do, and we won't pretend otherwise. What we know is what breaks in a company of your size, because it breaks the same way in most of them — work sitting between two people, money agreed but never written down, a customer going quiet.

We spend the first week learning your business from the people doing the work. And if your problem turns out to be a licensing issue or something that needs deep expertise in your specific trade, we'll say so on the first call and point you at someone better.

Is this going to feel like surveillance to my people?

It shouldn't, and we design against it. The board has to be genuinely the fastest way for your team to see their own work — quicker than the whiteboard, quicker than asking. Flags point at jobs, not people.

A system your staff resents gets fed bad data within a month, and then it's worth nothing to you either.

What happens when you leave?

You keep everything — the system, the documentation, the procedures. Your team runs it without us. Consultants who make themselves permanently necessary aren't fixing anything.

How much of our people's time does this take?

A few hours in the first week, mostly conversations with the people doing the work. After that it reads what's already happening, and you see it when it's working.

Are you local?

We work remote, and have for years. If your operation needs to be seen in person to be understood, we'll come see it.

Start here

What do you always hear about too late?

Thirty minutes. Tell us where the surprises come from and we'll tell you what we'd put on the screen first — whether or not you ever hire us.

We answer same day.

Rather just book it?

Pick a time that works. No pitch deck, no discovery questionnaire — tell us what you can't see from where you sit and we'll talk about it.
